Rental Policy
- The Department reserves the right to refuse a rental to any individual or organization.
- If, in the opinion of the Manager of Facilities and Services, a rental request has the potential to:
1. conflict with already scheduled programs or committed rentals / bookings / special events;
2. damage the facilities; or
3. affect negatively similar programs offered through the Department or University;
the Manager of Facilities and Services has the right to refuse rental.
- No rental contract will be issued to a previous client with an outstanding rental debt.
- All rentals are on the basis of payment in advance. This is normally full rental rate as confirmation with the signed copy of the contract. For rentals that continue over a period of time (eg. Arena rentals of 1 hour per week for the season) preferably 2 installments will be arranged – each due in advance of the respective segment of the rental. Expenses will be billed post event.
- Either (1) default of an advance payment, (2) a cheque returned NSF, or (3) failure to submit confirmation (with deposit) by the deadline indicated on a contract will result in breach of the rental contract and immediate cancellation of the rental.
- A rental group will be refunded for cancellation of facility time caused by a University / Department program or closure. Such refund may either be deducted from the rental group’s next installment or issued directly.
- Reservations must be made in advance, in writing, to the Manager o Facilities and Services, Physical Education Centre, Queen’s University.
- An organization renting the facilities must designate an individual who will accept responsibility and be signing authority for the group.
- Each group using the facilities must comply with all security, safety, catering and liquor regulations.
- An employee of the School of PHE must be present during the time a facility is rented.
- Under the terms of its insurance policy, Queen’s University is insured as a third party liability insurance.
- The Manager of Facilities and Services or designate will coordinate the renting of the P.E.C. facilities and will arrange services for rentals through Physical Plant Services, security and parking as appropriate.

Procedures for Booking a P.E.C. Facility
- Student groups or individuals must make their reservations in person at the Administration Office Wickets at the P.E.C. Please present current membership card.
- Groups or individuals may reserve a P.E.C. facility in advance (subject to availability).
- All bookings must include set up or take down time (10 minutes).
- Prepayment for all facilities is required at the time of the booking.
- No facilities will be held.
- No refunds.
- To receive the Internal Rate ALL participants must have a P.E.C. membership (all students/staff/faculty).
- If participants are NOT all P.E.C. members then the community rates apply.

Other facility Use
Swimming Pool
The cost to rent the swimming pool will depend on the number of participants in the pool at one time. The lifeguards are enclosed in the cost of renting the pool.
Dance Studios
There are two dance studios, one located on the third floor and one in the basement beside the lower deck area. Both facilities have wood floor with mirrors.
Weight Rooms
There are two fully equipped weight rooms. The Varsity Weight Room is also used as a teaching area and may be scheduled at certain times.
Lower Deck
This is an area which is fully equipped with various exercise equipment. Some of the equipment can be booked for personal use within a certain time frame. Details are provide at the location.
Combatives Room
This is an area located in the basement of the P.E.C. The room is matted on the floors and walls, currently being used as a wrestling, martial arts and stretching area.
Squash Courts
Currently there are 4 American and 4 English squash courts. Two of the English courts are with glass backs. These courts must be reserved in advance, the booking sheets are located in the main lobby of the P.E.C.
Racquetball Courts
There are 2 racquetball courts. These courts and also be converted to Wallyball. These courts must be reserved in advance, the booking sheets are located in the main lobby of the P.E.C.
